Event Coordinator

Background: Pitch Labs is a 501(c)3 non-profit organization that educates, empowers, and inspires young entrepreneurs by providing accessible step-by-step guides, hosting events and workshops, and promoting peer mentorship and development in a community setting. We are 100% volunteer-run and offer all our resources for free online.

Our team at Pitch Labs is working to make entrepreneurship accessible. We strive to redefine who can be an entrepreneur, highlighting that being an entrepreneur is not about having a specific degree but pursuing one's innate curiosity to learn and develop. We strive to rewrite the narrative of what a successful business and entrepreneur looks like, recognizing that struggles are simply steps to success. We strive to help students understand both the value of always being a mentor and mentee and the value of harnessing their creativity regardless of what career they pursue in the future.

Preferred Qualifications:

  • Experience as a Lead organizer for a popular event and background/deep interest in entrepreneurship, start-ups, Education, Technology, nonprofits, etc.
  • Availability to attend weekly video meetings by video on Mondays at 4pm PT / 7pm ET reside in the United States (preferably EST timezone)
  • Team Collaboration - As part of one of our two event teams, you will work closely with your two team members and the Event Coordinator. Collaboration, effective communication, and leveraging each other's strengths will be key to achieving success in securing speakers and organizing outstanding online events. Together, you will pool your expertise, share responsibilities, and support one another to deliver impactful experiences for our event participants.

Minimum Requirements:

  • Experience with organizing/event planning & logistics
  • Write & speak professional/native level English language and responding to emails/messaging within 24 hours
  • Strong teamwork and collaboration skills, with the ability to work closely with your team members towards shared goals.
  • Good research abilities to identify potential speakers who align with our - organization's values and event themes.
  • Excellent communication skills, both written and verbal, for effective outreach and coordination with speakers.
  • Skilled at listening, sharing oneโ€™s perspective and collaborating with team member
  • Detail-oriented and organized, ensuring accurate tracking of speaker commitments and event logistics.

Duties:

  • Brainstorming ideas for events
  • Hosting, organizing events
  • Helping find sponsors for some events
  • Collaborate with your team members to research and identify potential speakers who align with our organization's mission and event themes.
  • Reach out to speakers through various channels, presenting our organization's vision and the benefits of participating in our events.
  • Coordinate speaker engagements, including scheduling, providing event details, and ensuring clear communication throughout the process.
  • Work closely with other team members to ensure smooth coordination and execution of online events.
  • Actively contribute ideas and insights during team meetings to enhance the quality and impact of our events.

Expectation:

  • Regularly attending weekly meetings on Mondays
  • AT LEAST 1 event hosted per month
  • Find at least 1 sponsor each event

Time Commitment: THIS IS AN UNPAID, REMOTE #WFH VOLUNTEER POSITION. Although this is a volunteer role, given our startup-like functioning, we only seek active volunteers who are energized, ready to engage and make an impact.

Please be prepared to contribute at least 5 hours a week for at least the next 6 months. As we invest heavily in training each volunteer, we humbly request that if you are unable to meet this time commitment, that you do not proceed with our application further. All volunteers must attend their departmentโ€™s team meeting or 1-1 meeting every week. We enforce a 24 hour response policy to promote a smooth workflow and mindfulness towards ongoing projects/deadlines that team members are working on.

We are able to accommodate volunteers who need time off for exams, work, family events, etc as long as these commitments are appropriately conveyed as soon as possible.
